About Committy

Committy helps groups manage fines, shared records and activities. This notice covers the app, accounts and support. The marketing website has separate privacy information. Contact support@committy.co.uk. Correspondence: Green Barn, North Lynn Farm, Estuary Road, Kings Lynn, PE30 2HL. Incorporation of Committy Ltd is pending; it has not yet been incorporated. Confirmed legal operator details will be published before public launch.

Information we use

We use names, optional nicknames, email addresses, account identifiers, memberships and roles. Group records include fines, balances, notes, contests, hearing arrangements, votes, reactions, polls, notices, activity history and selected images. Organisers may create a member record before someone joins. Do not add unnecessary sensitive information about yourself or others.

How information is used

Account and group information supports sign-in, membership, fine management and the features you choose. Support messages help us respond to questions and complaints; activity and technical records help protect accounts and investigate errors or misuse. Some information comes from your committee or other authorised members, rather than directly from you. Required account fields are identified when you sign up; without them we may be unable to provide an account.

Privacy choices

Adding optional content is your choice. Group visibility settings affect what other members see. Contact support to ask about a particular use of your information, request a correction or exercise your rights. Reading this notice is not consent to marketing or every possible use of your data. The current service is a private beta; the company’s final processing responsibilities and lawful bases will be published before public launch.

Who can see group records

Members see shared information according to group settings and permissions. Committee and chair access follows their roles. Fines and leaderboards can identify members and amounts. Other members cannot retrieve your individual private jury ballot through the app; they see aggregate results. In a small group, a vote may still be inferred. Authorised support and providers may access records where necessary to operate, secure or support the service.

Storage and service providers

Supabase handles online authentication, team records and attachments in the London project. Cloudflare provides web delivery and access protection. Resend delivers confirmation and recovery emails, including temporary codes; Google Workspace handles support email. Better Stack checks a minimal health endpoint, not team records or votes. Operational alerts do not include member information. Stripe sandbox is used for designated payment testing; Committy records provider references, not card numbers. Live payments are disabled. Never use real card details in sandbox.

International processing

Some providers process information outside the UK. The database’s London location does not mean every email, log or support record stays in the UK. Resend sending is routed through Ireland and its stored data is held in the United States. Provider transfer arrangements and retention are being confirmed before public launch. On your device

Local preview records stay on the device unless exported; they are not automatically uploaded. Local backups may include other people’s information and votes. Native login sessions use the Keychain or Keystore; browser sessions are tab-scoped. Selecting an image does not upload your whole photo library. A render failure may save a diagnostic code and time locally; screen content is not automatically sent to a monitoring service. No advertising trackers or session replay are enabled.

Optional phone notifications

Phone alerts are being prepared for compatible iPhone builds and are not active in the current beta. When enabled, you can choose whether to receive them on each iPhone. The service links an Apple device notification token to your account to deliver alerts through Apple. Lock-screen alerts use a generic message, not fine amounts, names or ballot details. You can turn alerts off in the app or iPhone settings; your inbox continues to work. Apple may process notification delivery information outside the UK. A delivered alert cannot be recalled from a device.

Images and reports

Only upload images you have permission to share. Existing evidence may be visible in team activity; the app does not automatically redact it. Crop or hide bank details, unrelated transactions and other personal information. Club listings are community-created, not officially verified. Listing reports go to Committy support with your account identifier, reason and explanation; they are not automatically shared with the reported team.

Keeping and deleting information

Local records remain until removed from the device or its storage. Online account deletion is reviewed manually; it is not immediate automatic deletion. We review routine support correspondence 12 months after closure, and routine security logs after 30 days, or up to 90 days for a documented incident. Settled or closed team content is reviewed 90 days after the season ends; unresolved disputes and necessary financial records are assessed separately. These are review points, not automatic deletion promises. We remove unnecessary information and document any justified exceptions. A name removed from a record does not necessarily make it anonymous. Separate exports, provider-held records and recovery copies need separate handling. Supabase daily database backups are retained for seven days; uploaded image files need separate backup arrangements. Further category-specific retention and provider expiry details are being finalised.

Your rights

Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your information. You can object to processing based on legitimate interests and withdraw consent where consent is the basis. Email support@committy.co.uk. We may make proportionate identity checks. Requests are normally answered within one month, with any lawful extension explained. An unpaid fine does not automatically prevent an information or deletion request.

Concerns or complaints

You have the right to object to processing based on legitimate interests. Tell support which use concerns you. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/ without first contacting us.

Group decisions and younger members

Court results and configured penalties can be applied automatically under group rules; a wheel can change a recorded fine. These are not legal judgments. Ask the committee to review errors or contact support about technical problems. Groups must consider younger members’ privacy and safety. Eligibility for live payments and chance-based activities is not confirmed by participation in this beta.
